Templates make your work with IVA easier and faster. You can create frequently used answer options, attribute combinations, question and instruction catalogs and category sets.

How do I create a new questionnaire?

To do this, you need to navigate to the appropriate page. To do this, click on Templates and then on Questionnaires. On the top right you will find a button called "+ Create new questionnaire". After you click on it, a pop-up window will open. There you can enter the following data:

When you have entered all relevant data, click Save at the bottom right.

How do I add questions to a questionnaire?

To do this, you must first navigate to the "Templates" -> "Questionnaires" page. Now you will see an overview of all created questionnaires. You can now search the list further up the page for the corresponding question catalog or scroll through the list. The list has the following columns: Image, Title, Description, Number of questions and the Actions. You can sort the titles and the description alphabetically in ascending or descending order. To do this, click on the column caption.

To edit an existing questionnaire, double-click on the corresponding row or click on the pencil icon on the right side under "Action". A new window with two columns will open.

On the left side you can see all available questions from the data pool. You can browse this list and also create a new question. On the right side you will find the questions of the current question catalog. If necessary, you can divide this into pages. This is especially useful for larger question catalogs to maintain clarity. To add a new page, click on the "+ New page" button at the top right. Now enter a suitable name for this page and press Enter or the check mark.

To add a question from the data pool to a page, first select the corresponding page with a click. You can see which page you are currently on by the background color. Drag and drop the question onto the right-hand page. You have now added a question to the question catalog.

When you have edited the question catalog, click on the Save button at the bottom right.

To access the overview of questionnaire series, navigate to the menu item “Templates” -> “Questionnaire series”. Here you will find a list of all existing questionnaire series in a tabular view with seven columns:

  1. Image
  2. Title
  3. Description
  4. Questionnaires
  5. Questions
  6. Last update
  7. Actions

You will find three icons under the "Actions" column:

  1. "Pencil" for editing
  2. "Lock" for questionnaire series that are already in use
  3. "Link" for the assignment of questionnaire series

Creating a new questionnaire series

A questionnaire series is a collection of questionnaires. 

To create a new series, first navigate to the menu item “Templates” -> “Questionnaire series”. Here you will see an overview of all existing questionnaire series. To create a new series, click on the "Create new questionnaire series" button at the top right.

A new pop-up will open in which you can give the series a unique title (note: mandatory field) and a description.

When creating a new questionnaire series, you have the option of adding an image and the following information:

The other details are added automatically:

Proceed by clicking on "Save".

Another pop-up will now open. In the left-hand column, you will see all existing questionnaires. You can assign a question questionnaire to a series using drag & drop or double-click.

 At the top you can see the newly assigned name of the questionnaire series. In the righthand column, you can see the question catalogs that you have assigned to the series. You can drag and drop them into the desired order using the drag indicator (six dots). You can also remove individual catalogs by clicking on the cross icon. You can call up a preview via the "eye" symbol in the tile of the respective question catalog.

You can view a preview of the questionnaire series by clicking on the "Preview" button at the bottom right.

Remember to click the "Save" button when you are finished assigning the question catalogs.

Editing a questionnaire series

To edit a a new series, first navigate to the menu item “Templates” -> “Questionnaire series”. Here you will see an overview of all existing questionnaire series. 

Select the relevant questionnaire series (tip: you can also use the search function) and click on the "pencil" icon.

A pop-up will now open in which you can change the name and description, as well as the answer duration.

You can also edit the assigned question catalogs by clicking on the “Add questionnaires” button. A new pop-up will then open in which you can assign the questionnaires to the questionnaires-series.

When you have finished editing, don't forget to click on the "Save" button.

Assigning question catalogs to questionnaire series

First navigate to the menu item “Templates” -> “Questionnaire series”. Here you will see an overview of all existing questionnaire series.

Select the relevant questionnaire series (tip: you can also use the search function) and click on the "Pencil" icon or double-click on the corresponding line. A new pop-up "Details questionnaire series” appears.

At the bottom left you will see a button "Add questionnaires". Click on it to open a new pop-up, that’s consisting of two parts. The left half contains the existing question catalogs and the right half contains the questionnaire series.

You can drag and drop (six small dots on the left) a question catalog from the left column to the right column or double-click on the question catalog you want to assign.

You can remove question catalogs that have already been added to your series by clicking on the cross icon on the right-hand side. You can call up a preview via the "eye" symbol in the tile of the respective question catalog.

How do I create a new instruction set?

To create a new instruction set, first navigate to the corresponding menu item. To do so, click on Templates -> Instruction sets in the left navigation bar. There you will see an overview with all your existing instruction sets. To add a new one, click on the "+ Create a new instruction set" button in the upper right corner. Now a popup appears where you can give the set a name (mandatory field) and optionally add a description. Click on the Save button to open a new popup. In the left column you will see a searchable list with all instructions available in the system. If you want to add an instruction to your new set, just double-click on the corresponding line or alternatively drag and drop it to the right side. When you are done, don't forget to press the Save button.

There, select your desired instruction set (tip: you can also use the search) and double-click on the corresponding line or alternatively on the pencil icon. Now a popup opens where you can change the name as well as the description. Now click on the button "Assign instructions" and a new popup will appear. You can drag and drop or double click an instruction from the left column to the right column. In addition, on the right side you can remove instructions that have already been added to your set by clicking on the red cross. When you are done editing, don't forget to click on the Save button.

How do I create a new attribute set?

First navigate to Templates -> Attribute Sets in the left navigation bar. Now click on the "+ Create new attribute set" button at the top right. A new pop-up window will open where you can give the attribute set a name. Click on "Save". In the additional pop-up window that opens, you can add attributes stored in the data pool to the current attribute set (double-click or drag & drop). Alternatively, you can also create a new attribute using the corresponding button. When you have added all the desired attributes to the current attribute set, click on "Save".

How do I edit an existing attribute set?

To edit an existing attribute set, first navigate to Templates -> Attribute Sets in the left navigation. Now you can browse the list of your attribute sets. When you have found the right one, double click on the row or alternatively on the pencil icon. You will see a popup where you can edit the attribute set name or delete the attribute set. To change the attribute assignment, click on the "Assign Attributes" button. This will open a new popup. On the left side you will find all available attributes and on the right side the attributes assigned to the attribute set. You can assign new attributes to the attribute set via drag & drop or double-click. When you are done, don't forget to click on "Save".

How do I create a new category set?

To create a new category set, you must first navigate to the appropriate page. To do so, click on Templates -> Category Sets in the left navigation. You will now see an overview with all your existing category sets. Now click on the button "Create new category set" in the upper right corner. In the pop-up that appears, enter a name for the category set and then click "Save". Now a new pop-up will open where you will see a searchable list of all your categories on the left and the categories assigned to your category set on the right. Since you are creating a new set, this list is empty at the moment. You can add a category to your set by checking the checkbox for the appropriate category on the left. When you have added your desired categories, don't forget to click the "Save" button.

How do I edit a category set?

To be able to edit a category set, you must first navigate to the corresponding page. To do this, click on Templates -> Category Sets in the left navigation bar. Select your desired category set there (tip: you can also use the search) and double-click on the corresponding line or alternatively on the pencil icon. Then click the "Assign categoies" button. Now another popup will open where you can see all available categories on the left side and categories assigned to your set on the right side. To add or remove a category, check or uncheck the box to the left of the respective attribute. When you are done editing, don't forget to click the "Save" button.

How do I create a new answer option?

To create a new answer option, first navigate to the corresponding menu item. To do so, click on Templates -> Answer Options in the left navigation bar. There you will see an overview with all your existing answer options. To add a new one, click on the "Create answer option" button in the upper right corner. Now a new popup appears where you can give the set a name (attention: mandatory field) and optionally add a description. In the left column you can see an overview with all available question types. When you have decided on a question type, simply click on the corresponding line. The selected question type is now waiting for your configuration in the big box. When you are done, don't forget to press the "Save" button.

How do I edit an existing answer option?

To edit an existing answer option, you must first navigate to the corresponding page. To do this, click on "Templates" -> "Answer Options" in the left navigation bar. Select your desired answer option there (tip: you can also use the search) and double-click on the corresponding line or alternatively on the pencil icon. Now a popup will open where you can see all available question types in the small column and the details of your answer option in the large area. There you can edit the name, description as well as the configuration of the current question type. When you are done editing, don't forget to click the Save button.

Importing answer options from another division

To import answer options from another division into your division, first navigate to “Templates” -> “Answer options”.

Here, click on the “Import from other division” button. A pop-up will then open with the divisions from which you can import answer options. Select a division and then click on Import to import the relevant answer options.
